Job Description

Key Responsibilities

  • Manage calendars, appointments, and meeting schedules.
  • Coordinate email correspondence and respond to routine inquiries.
  • Prepare reports, presentations, and business documents.
  • Organize and maintain digital files and records.
  • Assist with travel arrangements and itinerary planning.
  • Track tasks, deadlines, and follow-up actions.
  • Support project coordination and administrative processes.
  • Take meeting minutes and distribute action items.
  • Assist with stakeholder communications and relationship management.
  • Perform general administrative duties as required.

Essential Requirements

  • Must be based in Kenya.
  • Minimum of 2–4 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Intermediate English proficiency with strong written and verbal communication skills.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to work independently and manage competing priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong problem-solving skills and a proactive approach to work.

Highly Regarded Experience

  • Previous experience working in the NDIS, aged care, healthcare, hospital, community services, disability support, or allied health sectors.
  • Experience providing executive, administrative, or operational support within the health or community services industry.
  • Understanding of the NDIS, aged care, disability, or healthcare systems.
  • Strong sales, stakeholder engagement, account management, or business development experience.
  • Experience working with diverse stakeholders, clients, and service providers.
