DUTIES AND RESPONSIBILITIES
Procurement Management
· Source and evaluate suppliers based on quality, pricing, reliability, and delivery performance.
· Obtain quotations, negotiate prices, terms, and contracts to achieve cost savings.
· Prepare purchase requisitions, purchase orders, and procurement documentation.
· Ensure timely procurement of raw materials, ingredients, packaging materials, spare parts, and other operational supplies.
· Build and maintain strong supplier relationships to ensure consistent supply.
Supplier Management
· Evaluate supplier performance based on quality, cost, and delivery timelines.
· Resolve supplier-related issues, including delivery delays, shortages, and quality concerns.
· Coordinate supplier audits and maintain an approved supplier database.
· Monitor supplier compliance with contractual obligations and company standards.
Inventory & Stores Management
· Oversee the receipt, storage, issuance, and recording of all inventory items.
· Maintain accurate stock records using inventory management systems.
· Conduct regular stock counts and reconcile physical inventory with system records.
· Monitor stock levels and initiate timely replenishment to avoid stock-outs or overstocking.
· Ensure proper storage of bakery ingredients and materials in line with food safety requirements.
Warehouse Operations
· Ensure efficient organization and housekeeping within the stores and warehouse.
· Monitor stock rotation using FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) principles where applicable.
· Safeguard inventory against damage, spoilage, theft, and loss.
· Coordinate the safe loading, unloading, and movement of goods.
Cost Control & Budget Management
· Monitor procurement expenditure and identify cost-saving opportunities.
· Ensure procurement activities comply with approved budgets.
· Track market prices and recommend cost-effective sourcing strategies.
· Minimize inventory carrying costs while maintaining adequate stock levels.
Documentation & Reporting
· Maintain accurate procurement, supplier, and inventory records.
· Prepare daily, weekly, and monthly procurement and stock reports.
· Maintain proper filing of purchase orders, delivery notes, invoices, and goods received notes.
· Generate inventory reports highlighting slow-moving, obsolete, or expired stock.
Compliance & Food Safety
· Ensure procurement and stores operations comply with company policies and procurement procedures.
· Verify that purchased materials meet quality and food safety standards.
· Support compliance with HACCP, GMP, and ISO 22000 Food Safety Management Systems where applicable.
· Ensure safe handling and storage of food ingredients and packaging materials.
KEY REQUIREMENT SKILLS AND QUALIFICATION
· Diploma/Degree in Procurement, Supply Chain Management, Logistics, Business Administration, or a related field.
· Minimum of 5 years' relevant experience in procurement and stores management, preferably within a bakery, food manufacturing, or FMCG environment.
· Demonstrated experience in supplier sourcing, contract negotiation, procurement processes, and inventory management.
· Strong knowledge of procurement principles and supply chain management.
· Excellent negotiation and supplier relationship management skills.
· Sound understanding of inventory control and warehouse operations.
· Proficiency in inventory management systems and Microsoft Office applications.
