Job Description

Responsibilities:

  • Manage the CEO’s calendar, including meetings, appointments, travel, events, and personal commitments.
  • Coordinate the CEO’s daily, weekly, and monthly schedules to ensure alignment with organisational priorities.
  • Screen, organise, and prioritise incoming communication, requests, and meeting invitations.
  • Prepare meeting schedules, briefing notes, reminders, and follow-up action trackers for the CEO.
  • Support coordination between the CEO and the Operations Executive on organisational activities and timelines.
  • Handle confidential information with discretion and professionalism.
  • Draft correspondence, memos, letters, and internal communication as required.
  • Follow up on pending tasks, approvals, and action items assigned by the CEO.
  • Assist in organising internal meetings, leadership check-ins, and executive-level engagements.
  • Maintain organised records, files, documents, and executive reference materials.
  • Support personal administrative needs of the CEO where required, within professional boundaries.
  • Help ensure that the CEO is prepared for meetings, events, and public engagements.
  • Liaise with internal teams to confirm schedules, deadlines, and updates relevant to the CEO.
  • Provide administrative support for special projects and executive tasks as assigned.
  • Perform any other duties delegated by the CEO or Operations Executive, where appropriate.


Requirements:

  • Minimum of BSc in any related field.
  • 3- 4 years of proven experience as an executive assistant or in a similar high-level administrative role.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace tools.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Superior time-management abilities, keen attention to detail, and a proactive problem-solving mindset.
  • High integrity and professional maturity when dealing with confidential matters
