Executive Support
- Manage the President's calendar, appointments, meetings, and travel arrangements.
- Coordinate daily schedules and ensure efficient use of the President's time.
- Prepare meeting agendas, briefing notes, presentations, and reports.
- Draft, edit, and proofread correspondence, speeches, and official communications.
- Screen and prioritize incoming calls, emails, and requests.
Office Administration
- Maintain confidential records, files and official documents.
- Organize meetings of the University Council, Management Committee, and other executive forums as directed.
- Take minutes during meetings and monitor implementation of action items.
- Manage office supplies, filing systems, and administrative processes within the President's Office.
Stakeholder Engagement
- Serve as the primary point of contact between the President and key stakeholders.
- Coordinate visits by government officials, donors, accreditation bodies, and international partners.
- Facilitate communication between the President's Office and university departments.
- Assist in planning institutional events, ceremonies, and special projects.
Strategic and Project Support
- Track strategic initiatives and provide progress updates to the President.
- Conduct research and prepare briefing materials on higher education trends, policy developments, and institutional matters
- Monitor deadlines and ensure timely follow-up on executive decisions.
- Support the President in managing partnerships and institutional projects.
Confidentiality and Compliance
- Handle sensitive information with the highest level of discretion and professionalism.
- Ensure compliance with university policies and governance procedures.
- Maintain confidentiality regarding personnel, financial, legal, and strategic matters.
Qualifications and Experience
- Education: A minimum of Bachelor's Degree in Management Studies from a recognized institution.
- Experience: Minimum of two (2) years' professional experience in executive assistance, office management or a similar role supporting senior executives.
- Experience in higher education or corporate executive offices is preferred.

- Strong interpersonal and stakeholder management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Ability to prioritize multiple tasks and meet deadlines.
