Financial Management & Compliance

· Full KRA Compliance: Oversee and ensure timely filing of all statutory returns, including VAT and Withholding Tax. Ensure all eTIMS invoices generated from the ERP system are compliant and transmitted correctly.

· Accounts Reconciliation: Reconcile all bank accounts, M-PESA statements, and cash collections against the daily sales reports from the ERP system.

· Statutory Payments: Manage and ensure timely payment of PAYE, NSSF, and NHIF contributions for all staff (Manager and Salespeople).

Inventory & Cost Accounting

· Cost of Goods Sold (COGS): Calculate the true cost of producing each bottle/crate, incorporating raw materials (bottles, caps, labels, chemicals), labor, and overheads.

· Inventory Audits: Work with the Sales Manager to conduct regular and surprise stock counts at the Muhoroni plant and the two outlets. Reconcile physical stock with ERP system records to identify and prevent shrinkage or theft.

· Product Pricing: Analyze costs and margins to recommend optimal pricing strategies for the wholesale (plant) and retail (outlet) channels.

System & Process Improvement

· ERP Optimization: Become the expert user of the ERP system. Identify areas for improvement in its use to enhance financial controls and reporting.

· Financial Reporting: Prepare and present a simple, clear Monthly Management Report. This should include:

o Profit & Loss Statement for the plant and each outlet.

o Statement of Cash Flows and cash position.

o Key Performance Indicators (KPI’s) like Gross Profit Margin, Average Daily Sales, and Inventory Turnover.

· Budgeting: Assist the owner in developing annual budgets and track performance against them.

Cash Leakage Prevention

· Segregation of Duties: Establish and enforce clear financial procedures to ensure the person handling cash does not have unrestricted access to the accounting records.

· System Reconciliation: Ensure the digital trail from the ERP is complete and matches bank and cash records. Investigate all discrepancies.
