The Federation of Women Lawyers (FIDA) – Kenya is the premier women’s rights organization in Kenya and has in 30 years offered direct legal aid services to over 300,000 women and positively impacted in structural, institutional, and legal reforms within Kenya to ensure gender sensitivity and responsiveness.
Established in 1985 during the 3rd UN Conference on women held in Nairobi, FIDA Kenya which is a membership organization of over 1,000 women lawyers and law student is committed to the creation of a society that is free from all forms of discrimination against women in Kenya.
As a result of the commendable work in advocating for women’s rights at the community, national, regional and international level, the organization has attained recognition as a critical partner for community, government, civil society, development partners and UN agencies in ensuring structural, institutional and legislative reforms.
JOB SUMMARY
The Human Resources & Administration Officer will provide operational leadership inthe management of human resources and office administration functions. The role isresponsible for supporting the employee lifecycle, ensuring compliance withemployment legislation and organizational policies, fostering a positive workplaceculture, and coordinating administrative services that facilitate efficient organizationaloperations.Academic and Professional QualificationsBachelor's Degree in Human Resource Management, Business Administration(Human Resource Option), Commerce (Human Resource Option) or a related field.Certified Human Resource Professional (CHRP-K) qualification.Valid membership with the Institute of Human Resource Management (IHRM).A postgraduate qualification in Human Resource Management or a related fieldwill be an added advantage.ExperienceAt least three (3) years of progressive experience in Human Resource andAdministration.Experience working in the NGO, development or non-profit sector will be an addedadvantage.ResponsibilitiesA) Human Resource ManagementCoordinate end-to-end recruitment and selection processes, including advertisingvacancies, coordinating interviews, conducting reference checks and onboardingsuccessful candidates.Maintain accurate and confidential personnel records and HR information systems.Administer employee contracts, confirmations, leave, probation and separationprocesses.Coordinate staff induction and orientation programmes.Support implementation of the performance management system, includingappraisal processes and follow-up on performance improvement plans.Coordinate staff learning and development initiatives and maintain trainingrecords.Support employee engagement, staff wellness and workplace culture initiatives.Administer staff medical insurance and other employee benefits in liaison withservice providers and the Finance Department.Coordinate payroll inputs and ensure timely submission of HR informationaffecting payroll.Guide staff on HR policies, procedures and employment-related matters.Support disciplinary and grievance management processes in accordance withorganizational policies and Kenyan labour laws.Ensure compliance with statutory employment obligations and organizational HRpolicies.B) AdministrationCoordinate office administration services to ensure a safe, efficient and conduciveworking environment.Oversee office maintenance, utilities, security, cleaning services and office supplies.Coordinate travel, accommodation and logistical arrangements for meetings andorganizational events.Support asset management by maintaining accurate inventory records.Coordinate occupational safety and health compliance initiatives.Liaise with external service providers to ensure quality and timely service delivery.Support procurement processes in accordance with organizational policies bycoordinating administrative requirements and documentation.C) Compliance and Organizational SupportEnsure compliance with relevant labour legislation and internal policies.Support implementation of safeguarding, diversity, equity and inclusion initiatives.Prepare periodic HR and administration reports for management.Contribute to continuous improvement of HR and administrative systems andprocesses.Perform any other duties as may be assigned by the Executive Director.How to ApplyInterested candidates who fully meet the above criteria should send an applicationletter and detailed CV to The Executive Director, FIDA Kenya, through the Email provided.The application MUST include contacts of three referees, one of whom must be a former supervisor,expected salary, daytime contact, job title, and job reference number.
