Habitat for Humanity Malawi (HFHM), an affiliate of Habitat for Humanity International, is a non-profit Christian organisation committed to improving housing conditions in Malawi.

HFHM is seeking an Executive Assistant Intern to provide professional administrative, organisational, and coordination support to the National Director.

The successful candidate will support the smooth running of the executive office through effective diary management, communication coordination, meeting support, travel arrangements, and administrative assistance.

This opportunity forms part of HFHM’s institutional strengthening and strategic realignment process in line with its Country Strategy (2025–2030).

  • KEY RESPONSIBILITIES

The Executive Assistant Intern will be responsible for:

Providing administrative and operational support to the National Director.

Managing communication between the National Director, employees, clients, and external stakeholders.

Coordinating and prioritising activities to support executive priorities.

Managing calendars, meetings, appointments, and key engagements.

Preparing Board papers for submission to Trustees.

Coordinating domestic and international travel arrangements.

Preparing meeting agendas, taking minutes, and following up on action points.

Serving as a key contact point for partners, clients, and stakeholders.

Managing correspondence, information flow, emails, and official communications.

Screening and directing phone calls and other communications.

Supporting internal and external meetings, events, and functions.

Maintaining confidentiality when handling sensitive information.

Performing any other duties assigned by management.

  • Requirements
  • QUALIFICATIONS AND EXPERIENCE

Applicants should possess:

Minimum of a Diploma in Business Management or a related field.

Experience as an Executive Assistant, Personal Assistant, or similar administrative support role is an added advantage.

Advanced proficiency in Microsoft Office applications.

Strong organisational, planning, and time management skills.

Familiarity with office technology, systems, and business applications.

Excellent written and verbal communication skills.

Ability to maintain confidentiality and professionalism.

Excellent interpersonal and stakeholder management skills.

Ability to work independently while supporting senior leadership.
