Job Description
Key Responsibilities
Attending weekly toolbox meetings with staff and contractors to share and keep abreast of company safety requirements.
Reporting of near misses and incidents via company platforms to keep the personnel, the environment and the workplace safe.
Conducting scheduled facility inspections to monitor and improve safety standards.
Implementing Quality Management Systems (QMS), Environmental Management Systems (EMS) and Safety requirements.
Liaising with Sales Team on order confirmation and own collection truck availability.
Liaising with Customer Service Team on order releases for timely processing of customer requirements.
Liaising with Distribution Team on delivery truck schedules for timely availability of trucks.
Receiving, consolidating and communicating orders accurately when fulfilling customer orders.
Confirming customer/order collection party legitimacy through approved signatory records and Territory
Manager confirmation to eliminate fraudsters.
Recording all customer details on the customer register to be able to track orders up to delivery confirmation.
Issuing loading orders to the warehouse team to carry out loadings.
Accurately invoicing loaded quantities based on actual quantities loaded.
Sending loaded export orders and truck details to the clearing and forwarding agent for export entry processing not later than 30 minutes after loading.
Issuing released export entries to customers/drivers not later than 30 minutes upon receipt from the clearing and forwarding agent.
Preparing, maintaining and sharing the daily sales and dispatch report.
Receiving, recording, safekeeping and issuing security seals.
Inducting new drivers/customers on how to register their orders, document processing, acknowledgement and return of delivery notes.
Requirements
Bachelor’s degree in a business-related field.
CPA (K) or ACCA qualification is an added advantage.
At least two years’ experience in customer service/front office activities.
Good numerical skills.
Proficiency in SAP and Microsoft Office applications.
Ability to work under pressure to meet deadlines.
Strong attention to detail and accuracy.

High level of integrity and accountability.
Strong safety mindset and commitment to HSSEQ requirements.
