The Wellness is a doctor-led private clinic focused on preventive care and personalised service. We are looking for someone who combines warmth with careful administration and takes responsibility for making each patient's journey clear and well organised. This is a fully remote, non-clinical role. You will coordinate the London clinic and its partners remotely; no on-site attendance is required.
What you will do
- Respond to patient enquiries by phone, email and messaging, with clear, accurate and considerate replies.
- Coordinate appointments, blood tests, imaging and follow-up with patients, clinicians and providers.
- Set sales appointments and coordinate the handover to the sales team. This appointment-setting work does not earn commission.
- Confirm practical details, preparation instructions and next steps; track outstanding actions through to completion.
- Arrange delivery of clinician-approved results and summaries. Escalate clinical questions to a clinician rather than interpret results or give medical advice.
- Keep booking and CRM records accurate, protect confidential information and give colleagues a clear handover.
- Handle delays and service problems calmly, and help improve checklists and service standards.
What we are looking for
- Experience in customer support, private-client service, hospitality, healthcare administration or a similar role.
- Excellent spoken and written English, careful listening and clear phone communication.
- Strong organisation, attention to detail and comfort with scheduling, CRM and case-management tools.
- Sound judgement about confidentiality and when to escalate.
- A suitable private workspace and reliable connectivity.
- Healthcare experience and additional languages are useful, but clinical qualifications are not required.
Success in the role
Accurate bookings, timely follow-up, clear patient communication and dependable handovers. Specific response-time and service targets will be agreed during onboarding. This role is not a clinical decision-making or commissioned treatment-sales role.
