Position Objective
The Volunteer Coordinator is responsible for recruiting, screening, onboarding and supporting volunteers to meet the operational needs of the Commonwealth Home Support Programme (CHSP), Australian Community Visitors Scheme (ACVVS), Care Finder and other approved MIC programs.
The role ensures an adequate pool of appropriately skilled volunteers is available to support clients from culturally and linguistically diverse (CALD) communities. The Volunteer Coordinator manages the full volunteer lifecycle, including recruitment, mandatory compliance, induction, training, records management, recognition and volunteer wellbeing. The position works closely with the CHSP Project Lead to ensure volunteers are recruited and matched according to client needs and service demand and provides direct client support for the Care Finder Program as directed by Care Finder staff. The role will support to implement the Volunteer Strategy for MIC.
Background Information
Migrant Information Centre (Eastern Melbourne) (MIC) provides support to people from culturally and linguistically diverse (CALD) backgrounds residing in the eastern suburbs of Melbourne. The region covers the Local Government Areas of Boroondara, Whitehorse, Manningham, Maroondah, Knox, Yarra Ranges and Monash. MIC is governed by a Board of Directors.

MIC's Strategic Plan 2025-2028 outlines the 4 strategic pillars, expected outcomes and key objectives. MIC develops an annual plan to convert the strategy into achievable actions to be completed in the annual plan year.
Key Duties and Responsibilities
Volunteer Recruitment and Workforce Planning
- Develop and maintain a sustainable volunteer workforce to support MIC programs with a particular focus on ACVVS and CHSP program.
- Recruit volunteers based on identified client needs, language requirements, cultural backgrounds and program priorities.
- Promote volunteer opportunities through community organisations, educational institutions, volunteer platforms and community networks.
- Maintain an active volunteer recruitment pipeline to meet current and future service demand.
- Participate in volunteer recruitment events and community engagement activities.
Volunteer Screening, Compliance and Induction
- Coordinate the end-to-end volunteer recruitment process.
- Conduct interviews and suitability assessments.
- Arrange and monitor mandatory compliance requirements, including: National Police Checks Working with Children Checks Reference Checks Right to Work verification Confidentiality Agreements Code of Conduct Coordinate volunteer induction and orientation. Ensure volunteers complete all mandatory training before commencing duties. Maintain accurate volunteer compliance records and renewal schedules.

Volunteer Coordination and Support
- Maintain volunteer availability and rosters.
- Work closely with the Project Lead to allocate volunteers according to client needs, language and location for CHSP and ACVVS program
- Coordinate volunteer replacements when required.
- Monitor volunteer attendance and participation.
- Respond to volunteer enquiries and provide ongoing support.
- Coordinate volunteer recognition and appreciation activities.
- Support volunteer wellbeing and retention.
Volunteer Administration
Maintain accurate volunteer records including:
- Recruitment documentation
- Compliance records
- Training records
- Volunteer availability
- Leave of absence records
- Service hours
- Exit documentation
- Incident reports
- Recognition records
Ensure volunteer information is maintained in organisational databases and complies with privacy requirements.
Volunteer Performance and Issue Resolution
- Address volunteer concerns and operational issues promptly.
- Manage volunteer leave of absence requests.
- Assist with resolving volunteer-client matching issues.
- Escalate performance or conduct concerns to the Senior Manager.
- Support volunteers through regular communication and supervision.
- Participate in volunteer performance reviews where appropriate.
Support to CHSP Programs
Working collaboratively with the CHSP Project Lead, the Volunteer Coordinator will:
- Recruit volunteers to meet changing client demand.
- Match volunteers according to participant needs.
- Ensure sufficient volunteer availability across programs.
- Monitor volunteer capacity and identify workforce gaps.
- Support implementation of both the Social Support Group and Individual Social Support Programs.
Quality, Risk and Compliance
- Ensure volunteer management complies with organisational policies and legislative requirements.
- Maintain compliance with CHSP, Aged Care Quality Standards and Work Health and Safety requirements.
- Report incidents, risks and concerns promptly.
- Participate in quality improvement activities.
- Support audits and accreditation processes.
Key Selection Criteria
Essential
- Qualification in Community Services, Human Services, Volunteer Management or a related field, or equivalent experience.
- Experience recruiting and coordinating volunteers for a minimum of two years in similar role
- Demonstrated ability to build relationships with diverse communities.
- Experience maintaining confidential records and databases.
- Strong organisational and administrative skills.
- Excellent interpersonal and communication skills.
- Ability to work independently and collaboratively.
- Demonstrated understanding of cultural diversity and person-centred practice.
- Current Victorian Driver Licence.
- High level computer skills including Microsoft Office and client management systems.
Desirable
- Experience working within aged care, disability or community services.
- Experience supporting volunteers from culturally and linguistically diverse communities.
- Ability to speak one or more community languages.
Conditions of Employment
All offers of employment at the MIC are subject to a mandatory three-month probationary period.
- The successful candidate must produce a clear and current National Police Check and a valid Working with Children Check (WWCC) prior to commencement.
- Must possess a current Victorian Driver's Licence.
- Must hold, or be willing to obtain, a current First Aid Certificate.
- Must have eligibility to work in Australia.
- All MIC staff must work in close co-operation with other staff and volunteers of the organisation to achieve collective goals.
