About Us

Tjiwarl (Aboriginal Corporation) RNTBC (Tjiwarl AC) is a purpose-driven, not-for-profit organisation. It aims to deliver long-term, positive outcomes for Aboriginal people that are members of the Corporation. Priorities include health, education, employment and training, small business development, land management, law and culture, and protecting native title.

The Role

The primary objectives of this position are to:

  • Provide high quality administrative and executive assistance in a variety of areas, including the support of human resources and office oversight, along with secretarial and administrative duties.
  • Provide the CEO, Director Operations, and the Tjiwarl community members with high quality and timely administrative and operational support, and to ensure that the head office is highly functional and responsive.

The Duties

Duties and responsibilities include, but are not limited to:

Executive Meetings:

  • In consultation with Executive Management Team (EMT) co-ordinate agenda for meetings and sending out finalised Agenda prior to meetings;
  • Attending EMT meetings to take minutes and track outcomes; and
  • Finalising Minutes and outcomes after meetings and sending to EMT for action.

All Staff Meetings:

  • In consultation with CEO and DO, co-ordinate agenda items for All Staff Meetings;
  • Assisting CEO and DO in preparing for these meetings as required; and
  • Actioning any outcomes on behalf of CEO and DO as required.

Support of Human Resources:

  • Facilitate confidential filing of all HR documents;
  • Ensure HR process are followed e.g., onboarding, induction, liaison with finance team for payroll forms;
  • Ensue probation and other milestones are properly actioned;
  • Issuing office key, IT account password; and
  • HR administration and filing, including checking and lodging of Police Clearance checks and other registrations as required.

General Duties:

  • Support CEO and DO with scheduling meetings with internal and external stakeholders;
  • Generally assisting CEO and DO in managing their workloads and assisting to prioritise as necessary;
  • Assisting to draft policies and procedures as required and maintain policies register;
  • Provide high level administrative support for CEO and DO;
  • Maintaining confidentiality and privacy at all times;
  • Participating in ad-hoc projects and activities as required;
  • Facilitate maintenance requirements for the Tjiwarl AC offices, and maintain accounts for all services required in offices, including but not limited to internet and phone systems and IT accounts;
  • Supervise the administration team; and
  • Any other duties as directed by the line manager or executive team.

Selection Criteria

Essential Criteria:

  • High competency in English written and verbal communication;
  • High competency in administration capability;
  • Cultural sensitivity;
  • Ability to undertake research;
  • High level of initiative;
  • Can take direction and work in a team but also work independently as required;
  • Ability to plan, coordinate and implement administration systems, electronic filing and use MS Office, SharePoint, Power point, excel and any programming will be an advantage;
  • Experience in managing a dynamic administration and logistics team;
  • Demonstrated ability to organise work, manage time, determine priorities and meet deadlines; and
  • Ability to travel in regional and remote areas of the Goldfields.

Desirable:

  • A relevant tertiary qualification or experience in business administration will be an advantage.
  • Experience working with Native Title and/or Aboriginal organisations will be highly advantageous.
  • Experience in running offices and organisations administratively.
  • Completion of or willing to undertake Indigenous cultural awareness studies.

Licenses & Accreditations:

  • Class ‘C’ Drivers Licence
  • Appointment subject to a National Police Clearance

Salary & Benefits

A competitive salary will be negotiated based on skills and experience. The role is based in Kewdale, with occasional overnight travel to the northern Goldfields.
