About the Role
We are seeking a proactive, highly organised Executive Officer to manage the operational and administrative functions of two membership-based medical and scientific societies:
- Australian and New Zealand Bone and Mineral Society (ANZBMS)
- Endocrine Society of Australia (ESA)
The position reports to the board of directors of the Australian and New Zealand Bone and Mineral Society (ANZBMS) and the board of directors of the Endocrine Society of Australia (ESA) primarily through both Presidents.
Key Responsibilities
Governance & Corporate Operations
- Coordinate and attend board meetings, including drafting correspondence, preparing board papers, and producing detailed minutes.
- Maintain the corporate records for both societies in alignment with constitutional and regulatory requirements.
- Manage regulatory reporting to ASIC, the ACNC, and the ATO (BAS filings).
- Oversee insurance policies (liability and workers’ compensation) and maintain landlord obligations with the Royal Australasian College of Physicians (RACP).
- Coordinate annual financial audits in conjunction with external auditors.
- Provide day-to-day financial administration and support to the Treasurer of each Society, including monitoring bank account balances and transactions, maintaining financial records, and providing financial information as required.
- Act as an authorised signatory and coordinate banking arrangements, including the establishment and maintenance of account access and signatories following changes in Treasurers or other authorised officers.
Administration & Communications
- Oversee database and website management, ensuring accurate member records.
- Coordinate the production and dissemination of eBulletins and Annual Reports and Awards.
- Support the delivery of short courses and assist in coordinating professional meetings.
- Liaise regularly with various society committees, internal stakeholders, and external partners.
About You
You are a self-starter, organised, and can work autonomously. You have excellent communication skills and can work with people at all levels including internal and external stakeholders. You have strong administrative skills and are willing to work on tasks at all levels. You have a proven track record of working in the association or not-for-profit sector, ideally in a healthcare related industry.
Selection Criteria
Qualifications & Experience
- Education: Tertiary qualification in Business Administration (or a related discipline) OR equivalent professional experience.
- Sector Experience: Demonstrated experience working within a member-based association or not-for-profit organisation.
- Tech Savvy: High-level computer literacy, including proficiency in MS Office Suite and Xero, with the capacity to adapt quickly to new software platforms.
Skills & Attributes
- Communication: Highly developed written and verbal communication skills across all stakeholder levels.
- Organisation & Autonomy: Outstanding organizational skills with a proven ability to manage tight deadlines, solve problems analytically, and work independently with minimal supervision.
- Financial & Compliance Aptitude: Solid understanding of financial principles (BAS, audits) and regulatory compliance frameworks (ASIC, ACNC).
- Adaptability & Process Improvement: Strong track record of refining processes and building productive working relationships.
- Personal Values: Reliable, trustworthy, dependable, and honest, with a "can-do" attitude toward tasks at all levels.
Requirements
- Full eligibility to work in Australia (sponsorship is not available).
- Ability to attend out-of-hours Board meetings and travel to attend the Annual Scientific Meeting of each Society, held in Australia or New Zealand.

ANZBMS
The Australian and New Zealand Bone and Mineral Society is a public company limited by guarantee established in 1988. It brings together clinical and experimental scientists and physicians actively involved in the study of bone and mineral metabolism. ANZBMS is a specialist society of the RACP.
ESA
The Endocrine Society of Australia is a registered charity (ACNC) representing medical specialists, researchers, and trainees dedicated to the prevention and optimal treatment of endocrine and related medical conditions. ESA is a specialist society of the RACP.
Both societies hold annual scientific meetings independently and convene for a combined joint scientific meeting every three years.
