About the position

We're looking for an organised and proactive Business Operations & Administration Lead to join our Naarm-based team and keep Queer Town running smoothly as we grow.

Queer Town is an Australian-based, queer-led social enterprise working to end LGBTIQA+ discrimination through education, storytelling and systems-change. We work closely with organisations, schools, government agencies and communities across Australia (and beyond) to dismantle the day-to-day barriers facing LGBTIQA+ communities and develop long-term cultures of inclusion.

A few of Queer Town's clients include: AFL, City of Melbourne, Cotton On Group, GMHBA and Zoos Victoria. Queer Town is proudly the inaugural Impact Partner of The Australian Ballet and was awarded the LGBTIQA+ Melbourne Award in 2024 for the impact of our education and community engagement across Naarm.

As Queer Town's Business Operations & Administration Lead, you'll play an integral role in the business, managing weekly operations, streamlining internal systems and supporting the CEO and General Manager with relevant administration to ensure the successful delivery of Queer Town’s impact.

You'll be joining a small team working flexibly in a hybrid model, balancing collaboration with autonomous work. As a workplace, we are committed to a culture that prioritises work-life balance and team communication.

This role is ready for someone with the organisational skill, initiative and drive to strategically support Queer Town's operations, governance and leadership needs as we continue to grow.

Key focuses of the role

Systems & Operations

  • Develop and refine internal systems and processes to improve consistency and efficiency across the team
  • Contribute to the maintenance of Queer Town's operational systems, including our CRM (HubSpot) and project management tools
  • Maintain accurate records across finance (Xero), contracts (docusign) and client engagement systems

Executive & Project Support

  • Support the management of the CEO's inbox and calendar, prioritising and triaging with initiative
  • Support project management, tracking deliverables and deadlines
  • Support the General Manager throughout the client journey, providing administrative and operational support

Client Engagement

  • Assist in the preparation of proposals, pitches and client-facing materials
  • Nurture existing client relationships by managing post-workshop care
  • Help maintain and grow Queer Town's pipeline of business enquiries

Governance & Compliance

  • Keep governance documentation current and accessible
  • Maintain existing organisational policies, ensuring compliance obligations are met

Your experience

This position requires an individual with the applicable experience and confidence to manage the operational backbone of a growing organisation, as well as the confidence to support senior leadership effectively.

The vision for this role is to grow to <4 days per week and oversee the growth and management of Queer Town's day-to-day operations. Therefore, we are seeking an individual with the vision, commitment and experience to support the growth of Queer Town and play a key role in achieving our long-term business goals and outcomes.

Essential skills and experience

  • Demonstrated experience managing operations and administration for organisations and/or initiatives
  • Strong organisational skills with excellent attention to detail
  • Confidence using systems such as Google Suite, Xero and CRM platforms (e.g. HubSpot)
  • Experience supporting senior leaders with calendar, inbox and priority management
  • Experience with internal governance processes, including policy review and compliance
  • Experience working collaboratively in a small team with a common goal
  • Ability to work independently, using initiative to prioritise and manage your workflow
  • Genuine investment in LGBTIQA+ rights and lived experiences

Nice-to-have skills and experience

  • Experience in sales, business development or client outreach
  • Confidence creating content using basic design tools (e.g. Canva)
  • Experience with email marketing platforms (e.g. Mailchimp) and social media (e.g.
  • Website management or content management systems (e.g. Squarespace)
  • Experience working in for-purpose, mission-driven organisations or initiatives

What we're offering

  • 16 hours (2 days) per week, with the aim of growing to 4 days in the medium term We acknowledge the constraints of a 2-day per week contract and therefore you'll be supported to achieve your outcomes by both the General Manager and CEO, as required
